How to increase or reduce funds after they are issued?
Short answer
To increase or reduce funds after they are issued, admins can edit card or fund limits directly in Ramp, while employees must submit a request that follows the configured approval workflow. Once approved, changes apply immediately and control future spending.
How fund and card adjustments work on Ramp
Ramp supports post-issuance changes to both cards and funds, with controls that vary by user role.
- Admins and owners can edit limits, lock or unlock cards or funds, and apply changes instantly.
- Employees can request increases or changes, which route to the appropriate approver.
- All changes are logged and enforced in real time, preventing spend outside updated limits.
Approval routing is based on who originally requested the card or fund. If a manager or admin created it on the employee’s behalf, future edit requests— even when submitted by the employee—follow that original approval path.
How admins adjust cards or funds
If you are an owner or admin on the Ramp account, you can modify any existing card or fund without submitting a request.
Steps:
- From the homepage, click Manage Funds in the left-hand navigation.
- Select the card or fund you want to edit.
- Review the details panel on the right.
- Click Actions in the top-right corner.
- Edit the spending limit, lock or unlock the card or fund, terminate it, or apply other changes.
Admin changes apply immediately and override prior limits or configurations.
How employees request fund or limit changes
Employees cannot directly change issued limits, but they can submit requests for approval.
Steps:
- Locate the card or fund on the right side of the home screen or in your Wallet.
- Click the card or fund, then select Actions.
- Choose Request a temporary increase or Request an increase, depending on the card or fund type.
- Enter the updated amount and any changes to categories or merchant restrictions.
- Save changes and provide a justification explaining why the adjustment is needed.
- Submit the request for approval.
The approver can approve the request or provide a reason if it is denied.
Spending limit frequency changes
Changing a spending limit frequency to Total does not create a recurring reset.
- Total represents a one-time lifetime limit on the card or fund.
- To reset spending availability automatically, select a frequency such as daily, weekly, monthly, or yearly.
- Once updated, the available balance reflects the selected reset cadence.
This behavior applies to both cards and funds.
Locked cards with no unlock option
If a physical card appears locked and no unlock option is visible, the associated fund may be locked.
How to resolve:
- Go to Manage spend → Funds.
- Search for the employee or fund name.
- Unlock the fund if it is locked.
Once the fund is unlocked, the card becomes usable again.
