The problem
An inefficient, manual expense management system was time-consuming and burdensome

Pair Eyewear's previous expense management system was cumbersome, heavily reliant on spreadsheets, and created significant strain for the finance department. “Our previous system couldn’t meet our needs,” explains Staci Robinson, Pair’s Accounts Payable Manager. “It lacked comprehensive integration with NetSuite, offered no procure-to-pay functionality, and didn’t support amortization. The workflow was far from easy.”

Pair needed a new system that could automate tedious tasks and integrate seamlessly with NetSuite. On her first day at Pair, Staci was tasked with selecting a new expense management system. “I went with Ramp,” Staci says confidently. “I had used the other two options before, and Ramp was the most robust, intuitive, efficient, and easy.”

Pair partnered with Ramp to consolidate its various systems—credit cards, bill pay, reimbursement, travel—into one central platform. “The transition to Ramp was incredibly smooth,” Staci notes. “It took about a month, with dedicated support from Ramp throughout the process. The ease of implementation was remarkable.”

While employees don’t always embrace new accounting tools, Staci and her team found that the entire organization had a favorable opinion of Ramp right away. 

"Buy-in was quick because it’s so simple to use,” Staci shares. “Employees can snap a photo of their receipt, and (with pre-hardcoding of required accounting fields) it’s instantly coded to the correct department—half the work is done before they start.”

Pair leveraged Ramp’s AI-powered features to automate recurring tasks, allowing the finance team to focus on higher-value activities. The consolidation of multiple tools into Ramp’s central system has benefited both the finance team and managers across the organization.

“With Ramp, managers don’t have to go in and out of multiple systems,” says Staci. “In Ramp, managers can see reimbursements they need to review for employees, review and approve card requests, and even send and review invoices. I’ve received so many compliments on this system and its ease of use.”

Ramp’s integration with NetSuite is particularly helpful for the finance team. Previously, the team juggled numerous spreadsheets and manual uploads. Now, with Ramp, everything syncs effortlessly. “We love how Ramp and NetSuite work together,” Staci says. “It feels like they were made for each other.”

Ramp’s easy integrations with tools Pair already uses—systems like NetSuite as well as tools like Slack and Amazon—adds further ease to the user experience. “Receipts are automatically attached for us, then the employee simply needs to write a memo—and that’s it,” says Staci. “It’s just so easy and fun. It makes them want to do the job, because there’s no reason why you can’t.” 

 

The result
Improved UX, enhanced efficiency, and greater spend flexibility

Pair’s previous system left the team overwhelmed with spreadsheets, but Ramp’s simplicity has been a game-changer. “I’m always looking for ways to make processes easier for employees,” Staci explains. “With Ramp, tasks are simpler, whether done on a mobile device or laptop. Reimbursements are now completed within two days, and the syncing process is seamless.”

Despite initial skepticism about AI, Staci has been impressed by the productivity gains achieved with Ramp. “Ramp’s AI has given me a better work-life balance,” she says. “I have more time for my family now that the AI handles much of the work I used to do manually.”

Ramp has also empowered Staci to take on additional responsibilities in office and real estate operations, aligning with her career goals. “These processes and AI are helping me grow in my role,” she reflects.

Not only has Ramp provided Staci with greater day-to-day flexibility, but it has also given Pair Eyewear more control over its spending. “Ramp makes amortization so much easier,” Staci notes. “As a creative company with activities like photo shoots and product launches planned months in advance, we can now allocate expenses to the correct periods, avoiding the issue of lump-sum charges in a single month.”
